Responsibilities

The executive assistant will perform the following duties:

 

  • Manage and maintain executive calendars, including scheduling meetings, appointments, and travel arrangements.

  • Prepare and organize meeting materials, agendas, and presentations.

  • Coordinate and facilitate executive meetings, including arranging logistics, preparing meeting minutes, and following up on action items.

  • Handle confidential and sensitive information with discretion and professionalism.

  • Assist in the preparation and submission of reports, presentations, and other documents.

  • Conduct research and gather information to support executive decision-making.

  • Assist with special projects and other duties as assigned by executives.

  • Serve as program support to the government Program Manager (PM) and Office Director with responsibility for administrative knowledge of the assigned tools and programs/projects.

  • Coordinate, integrate, and execute office administrative functions, personnel in/out processing, and the office Strategic Calendar.

  • Provide administrative and technical support to the Government leadership team, cross-office coordination, external mission partners, and other DoD/IC customers.

 

 

 

Qualifications & Physical Requirements

Must hold a TS/SCI w/ CI Poly Clearance 

 

Expected Qualifications


Bachelor's degree in business administration, Communications, or a related field. Alternatively, demonstrate an additional 4 years of related experience per level if no bachelor's degree is held. 


Active Top Secret/SCI clearance with a Counter-Intelligence Polygraph 


Experience creating, delivering, and maintaining the office strategic calendar. 


Experience scheduling and coordinating activities, conference rooms, and travel arrangements. 


Experience conducting briefing, document reviews and records management. 


Experience with personnel in/out processing documentations and coordination. 


Ability to problem solve in a rapidly changing environment and interface with the customer daily. 


Track and respond to office tasking and build and present briefings. 


Ability to work independently with minimal supervision as well as the ability to manage multiple customer requests simultaneously. 

 

Desired Qualifications


Master’s degree 


5 years of experience in office Executive Assistant or Administrative Officer functions and processes 

 

Experience creating, delivering, and maintaining the office strategic calendar  


Experience scheduling and coordinating activities, conference rooms, and travel arrangements 


Experience conducting briefing and document reviews 


Experience in records management 


Ability to problem solve in a rapidly changing environment and interface with the customer daily 


Track and respond to office tasking and build and present briefings 


Experience coordination and managing decision documents, directives, work plans, governance documentation, and strategic artifacts 


Ability to draft, proofread, edit and coordinate correspondence 


Possess excellent writing and verbal communication skills 


Experience attending events and capturing minutes and notes 


Excellent interpersonal skills and the ability to summarize and brief senior level Government leaders
